Choosing email

Three kinds of business email

Every website we host comes with basic mailboxes on its domain. Many businesses need more than that, and we will tell you plainly which option fits how you work.

Whichever you choose, the address your customers know stays the same.

How an email move runs

We plan the move around how you use email

Before quoting a move, we ask the questions that decide it: who controls the account today, how many mailboxes there are, whether you rely on the calendar, which devices you read mail on, and how much old mail you need to keep. Then you get a plan with each step and its cost.

  • A copy of your mail taken before anything changes
  • A switch day agreed with you
  • Copies made for the move deleted once it is done

Back up
Your mail, contacts, and calendar exported while you can still sign in.

02

Switch
The new mailbox goes live and your domain’s records point to it, on the day you agree.

03

Move in
Old mail, contacts, and calendar copied into the new mailbox, and your devices set up to read it.

The situation

Marybeth Tee of MTee Tax Service ran her business email on Google Workspace, in an account her former web developer controlled. He had stopped helping her, and the domain her email depended on was in his account too.

What changed

We moved her domain out of the developer’s account and set up a Microsoft 365 mailbox in her own account. Then we moved 10,436 emails, 1,585 contacts, and 1,715 calendar appointments into it. Her email address did not change.

MTee Tax Service
I highly recommend John at Lyons Web Solutions. I own MTee Tax Service, a tax preparation business, so having secure and reliable email, website, and domain services is extremely important, especially during tax season. John helped me regain control of my domain and successfully move my business email to Microsoft. He was knowledgeable, patient, honest, and explained everything clearly. I finally have peace of mind knowing my business accounts are under my ownership and properly managed. Thank you, John!

Can you set up business email on my domain?

Yes. Lyons Web Solutions, in Howard County, Maryland, sets up business email on the domains we manage: the mailboxes, the forwarding and aliases you need, and the records that tell other mail servers your messages are genuine. If you already use Google Workspace or Microsoft 365, we point your domain at it instead.

Is email included with your hosting?

Basic mailboxes are. Every website we host gets up to 10 on its domain, set up by us. They suit an address read on one device, because mail downloads to that device and comes off the server. If you want mail on your phone and your computer, or a shared calendar, you need an upgraded mailbox, Microsoft 365, or Google Workspace, and we will say which fits.

Can you move my email from Google Workspace to Microsoft 365?

Yes. We move your mail, contacts, and calendar, set up your devices, and switch your domain’s records on a day you agree. For a Maryland tax accountant, that was 10,436 emails, 1,585 contacts, and 1,715 calendar appointments. Read the case study.

My old web developer controls my email. Can you help?

Often, yes. If you can still sign in to your mailbox, we take a copy of your mail first, then move it to an account in your name. Email held in an account only the developer can reach is harder, and we will tell you plainly what can be recovered. If the website and domain are stuck too, see website takeover.

Will my email address change?

No. Moving to a new provider changes where your mail is kept, not your address. Customers keep writing to the same address throughout.

Will I lose any email during the move?

A move is planned so you don’t. We take a copy of your mail before anything changes. On switch day, new mail starts arriving in the new mailbox, and your old mail is copied in after. Copies we make only for the move are deleted once it is done.

Why does my business email go to spam?

Often because the domain is missing the records that prove its mail is genuine, known as SPF, DKIM, and DMARC. We set them up on the domains we manage, so receiving mail servers can trust what you send.

Which email should a tax or financial business use?

Usually Microsoft 365 or Google Workspace in your own account, with two-step sign-in turned on, because rules such as the FTC Safeguards Rule expect it for businesses that hold client financial information. We set it up and move your existing mail into it.

Do I need to host my website with you to get email?

No. Email runs on your domain, so we manage the domain and its records along with your email, wherever your website is. If you want the website looked after as well, it can move to our managed hosting.

Are you local?

Yes. Lyons Web Solutions is based in Highland, in Howard County, Maryland, and works with businesses across Maryland and throughout the US. Most of the work happens by phone, text, and email, and you can ask to meet.

How much does business email cost?

Basic mailboxes come with our hosting. Upgraded mailboxes are added to your hosting bill per mailbox, and Microsoft 365 or Google Workspace is billed to you by the provider. Moving existing email is a separate project, quoted after a short call, because who controls the account, whether you use the calendar, and how much mail there is decide the work.
